Entitlement is pro-rated from employment start date to 31 December. Accrual is calculated daily from the start date to today. Always verify entitlements against the employee's contract and applicable local legislation.

How Pro-Rata Leave Works

When an employee joins mid-year, their annual entitlement is pro-rated from their start date to 31 December. For example, if someone joins on 1 July with a 20-day annual entitlement, they are entitled to roughly 10 days for the remainder of the year. Accrual is calculated daily from the start date. Days accrued = (days worked so far ÷ 365) × annual entitlement. Part-time employees are entitled to a proportional equivalent based on days worked per week. Someone working 3 days out of 5 receives 60% of the full-time entitlement.

Contractual vs Statutory Entitlement

Many employers offer more than the statutory minimum. The calculator always applies whichever is higher — statutory or contractual. If your contract provides 25 days but your country's statutory minimum is 20, the calculator uses 25. Bank holidays and public holidays vary by country and by contract. Some contracts include them within the annual leave total; others add them on top. Always verify against the employee's specific contract.
